Incoming Trucks

Incoming truck arrives at the Gate.
1. Is it an IMC container truck. If no go to step 2
A. Complete top and left-hand side of yard pass.
1. Date
2. Time
3. Carrier = IMC
4. SCAC = IMCG
5. Driver Name
6. Cab or tractor number (this is the part of the truck that has the engine.)
7. Inbound trailer number
a. This is the series of letters and number on the top right of the container (please record the letters and all the numbers)
8. Assigned drop lane.
a. Use the list of provided spaces (usually 5400, 5500, 5700 or 5800 range
9. Inbound security Seal
a. found on the seal located at the back of the truck.
10. Chassis number
a. Found on the front bottom of the trailer.
b. Usually, 4 letters and 6 numbers
B. Get Bill of Lading from driver (BOL)
C. Use mirror to perform visual inspection on undercarriage of trailer.
D. Observe side, back and doors of trailer.
E. Verify seal on trailer matches seal on BOL.
1. Use bolt cutters to remove seal.
F. Sign both copies of BOL.
1. Place 1 copy of BOL in folder
G. Give driver yard pass and second BOL.
H. Instruct driver to park trailer in assigned drop lane.
I. Complete CTPAT report on tablet
1. All port containers are size 40 containers.

2. If the incoming truck is an empty Western Express, NFI, G&P, Premier, or Knight trailer please follow the instructions below. If it a is full Western Express ( with seal ) go to step 3
A. Complete top and left-hand side of yard pass.

a. Western Express = WSXI
b. NFI, G&P, and Premier + GPTD
c. Knight = KNIG

5. Driver Name
6. Cab or tractor number (this is the part of the truck that has the engine.)
7. Inbound trailer number
a. This is the series of letters and/or numbers on the top right of the container (please record the letters and all the numbers)
8. Assigned drop lane.
b. Use the list of provided spaces (usually 2100 range)
9. Inbound security Seal
a. Write EMPTY in this space.
10. Chassis Number
a. Write NA in this space.
B. Ask driver for BOL # of trailer he is picking up.
1. Look for BOL in folder on desk.
a. Record space number of trailer to be picked up on the OUTBOUND PU/LOAD# line of yard pass (usually 1100 or 1000 range)
C. Have the driver lock open trailer doors and slide tandem to 41 feet.
D. Visually inspect empty trailer.
E. Give the driver the yard pass.
F. Instruct driver to park empty trailer in designated drop lane and to pick up full trailer from assigned lane.
G. Land incoming trailer in YMS computer system.
1. Click on teardrop on the left side of computer screen.
2. Select Trailer ID from “Choose an Option” drop down menu.
3. Enter trailer number in search line and hit search button.
4. If no result is found, click on Assign/ Review button on bottom right.
a. Enter trailer ID # in Trailer ID box.
b. Enter SCAC code in SCAC code box
1. Western Express = WSXI
2. NFI, G&P, and Premier + GPTD
3. Knight = KNIG
c. Enter 53 in Dimensions (FT) box.
d. Select correct door type from Door Type box.
e. Enter drop lane number in Yard Lane Box
1. DO NOT CLICK “Get Optimal Lane” button.
f. Click the Land Button on top right of Screen.
3. If the Incoming truck is a full Western Express
A. ​A. Complete tpp and left-hand side of yard pass.
1. Date
2. Time
3. Carrier = Western Express
4. SCAC = WSXI
5. Driver Name
6. Cab or tractor number (this is the part of the truck that has the engine.)
7. Inbound trailer number
b. This is the series of letters and number on the top right of the container (please record the letters and all the numbers)
8. Assigned drop lane.
c. Use the list of provided spaces (1009 through 1060)
9. Inbound security Seal
b. found on the seal located at the back of the truck.
J. Get Bill of Lading from driver (BOL)
1. Make copy of BOL
K. Verify seal on trailer matches seal on BOL.
2. Use bolt cutters to remove seal.
L. Sign both copies of BOL.
2. Place 1 copy of BOL in folder
M. Give driver yard pass and second BOL.
N. DO NOT ALLOW DRIVERS TO TAKE OUT ANY EMPTY WESTERN EXPRESS TRAILERS.
Instruct driver to park trailer in assigned drop lane

Outgoing Trucks

Outgoing Truck Arrives at the Gate
1. Is it an IMC container truck. If no go to step 2
A. Collect Yard pass from driver.
1. Complete right-hand side of yard pass
a. Outbound trailer number
1. This is the series of letters and number on the top right of the container (please record the letters and all the numbers)
b. Outbound Load/ PU number
1. Write Empty on this line.
c. Outbound Seal Number
1. Write Empty on this line.
B. Have the driver open trailer doors to verify trailer is empty.
C. Staple Yard pass and BOL together
D. Release empty trailer in YMS Computer system.
1. Click on the house icon on left side of computer Verify screen.
2. Select Trailer ID from “Choose an Option” drop down menu.
3. Enter trailer number in search line and hit search button.
4. Verify trailer number is correct.
5. Click “Release Trailer “Button
6. When the dialogue box pops up. Confirm release trailer.

2. If the Outgoing truck is a Western Express, NFI, G&P, Premier, or Knight trailer please follow the instructions below.
A. Collect Yard Pass from Driver
1. Complete Right-Hand Side of Yard Pass
a. Outbound trailer number
1. This is the series of letters and/or numbers on the top right side of container.
b. Outbound Load/ PU number
1. This located on the top right side of BOL.
c. Outbound Seal Number
1. This is located on the seal at the back of the truck and on the BOL.
B. Verify seal on outbound trailer matches BOL.
C. Have driver sign top page of BOL.
D. Give driver bottom 2 pages of BOL.
E. Staple Yard pass to top page of BOL and place in folder
F. Release outbound Trailer in YMS yard system.
1. Click on the house icon on left side of computer Verify screen.
2. Select Trailer ID from “Choose an Option” drop down menu.
3. Enter trailer number in search line and hit search button.
4. Verify trailer number is correct.
5. Click “Release Trailer “Button
6. When the dialogue box pops up, confirm release trailer.
